1. CALL TO ORDER

The Town of Grand Bay-Westfield Planning Advisory Committee met for a regular meeting on Monday, October 5, 2015 at 7:38 p.m. with Chair, Ralph Stevens presiding.

RE: 2016 BUDGET REQUEST

11. DEVELOPMENT OFFICER’S MEMO DATED OCTOBER 2, 2015
RE: PAC BUDGET REQUEST FOR 2016

“…moved by Theresa Gordon that the Planning Advisory Committee submit the following budget figure of $9,000.00 for expenses of the Committee for the year 2016;
$
Maximum Honorarium for PAC Members 4,200.00
Maximum Honorarium for PAC Secretary 3,360.00
Consultants, Legal Advice, Contingency 900.00
Supplies and Expenses 540.00
TOTAL 9,000.00….”

12. DEVELOPMENT OFFICER’S MEMO DATED SEPTEMBER 15, 2015
RE: RULES OF PROCEDURE AMENDMENTS

‘…moved by Cllr. Bev Day to adopt the following Amendments to the Planning Advisory Committee Rules of Procedure:

1. by revising references to the Chairman and Vice-Chairman to read Chair and Vice-Chair respectively throughout the text;

2. by revising Section II. REGULAR MEETINGS, Item 2, to delete the reference to a quorum of “five Members” to be substituted with “ four Members”, to read as follows:

“A quorum shall consist of four Members of the Advisory Committee, including the Chair.”;

3. by deleting Section II. REGULAR MEETINGS, Item 3, to delete the reference to having an alternate member of Council act as a voting member of the Committee. Item 3 to be noted as “Reserved”;

4. by revising Section III. SPECIAL MEETINGS, Items 1 and 2, to ADD a reference to use of emails, to read as follows:

1. Special meetings or telephone/email polls may be called by the Chair. It shall be the duty of the Chair to call a special meeting or telephone/email poll when requested to do so by a majority of the Members of the Advisory Committee.
2. Notice of special meetings may be given by phone or email when the Chair deems it urgent to meet within a period insufficient for the giving of notice by mail….”

13. ADJOURNMENT
